How to setup workorder automation

Get started with Workorder Automation

  1. Navigate to your username and click on Account Settings > Location.

  2. Click on Work Order Automation under Lightspeed R-Series on the left-hand side menu then click Create.

  3. Create an automation for each Lightspeed status.

  4. Use the smart fields in purple to fill in the necessary details and add a personal touch.

  5. Assign a Minimum Delay, we recommend a 15-minute buffer to prevent the automation from triggering in case a status is selected by mistake.

⏳ Status Must Stay the Same
The selected status must remain unchanged for the entire delay period for the message to be sent.

⚡ What “ASAP” Means
Choosing “ASAP” sends the message after approximately 3–4 minutes.

🕒 Store Hours Only
Messages only send during store hours — if your store is closed, they’ll queue and send when you reopen.

How the logic works behind the scenes

📩 One Message Per Status Per Workorder
Each status only sends one automated message per workorder.


If a workorder cycles through all statuses and then needs more work, create a new workorder to re-trigger automations.

💬 No Extra Conversations in Your Inbox
We don’t create conversation cards in your main Ikeono inbox unless:

  1. A message is manually sent to the customer

  2. A message fails to deliver

  3. The customer replies

📊 Track Automation Activity
Check the Reports > Automated Messages report to see:

  • What messages are queued

  • What messages have successfully been sent

  • What messages have an error

We designed it this way to avoid cluttering your inbox and ensure you only get relevant, actionable conversations.
