Why isn't a customer's payment showing as a deposit in Lightspeed R-Series?

For Lightspeed R-Series. Deposits apply automatically only when the payment link is sent from Lightspeed. Here's why a deposit might be missing and how to add it manually.

This article applies to Lightspeed R-Series only. Automatic deposits aren't available for Lightspeed X-Series.

Quick answer

Ikeono adds a deposit to the customer's Lightspeed R-Series account automatically only when two things are true: deposits are enabled in your Ikeono settings, and the payment link was sent from a Lightspeed workorder, sale, or customer profile. If the link was sent from the Ikeono portal or iPad app, the payment was still captured, but you'll need to add the deposit in Lightspeed yourself.

How it works

Lightspeed doesn't use phone numbers as a unique customer identifier. When a payment link is sent from inside Lightspeed, Ikeono knows exactly which customer and invoice it belongs to. When it's sent from the Ikeono portal or app, that information is missing, so Ikeono can't safely match the payment to an account.

We only try once

Ikeono makes one attempt to apply each deposit. If that attempt fails, it won't try again, and you'll need to add the deposit in Lightspeed.

Step 1: Check that deposits are enabled

Deposits are off by default, because you'll need to make a few decisions before turning them on. Open your Ikeono deposit settings and confirm they're enabled. For setup details, see How to setup deposits.

Step 2: Check where the payment link was sent from

  • Sent from a Lightspeed workorder, sale, or customer profile: The deposit should apply automatically. If it didn't, the single automatic attempt failed. Go to Step 3.

  • Sent from the Ikeono portal or iPad app: The deposit won't apply automatically. Go to Step 3.

Step 3: Add the deposit manually in Lightspeed

Add the deposit in Lightspeed the same way you would if the customer were in the store paying a deposit. When you choose the payment type, select Stripe. This gives the same result as when Ikeono applies the deposit automatically.

For Lightspeed's steps, see Managing deposits in Lightspeed's help center.

To avoid this next time

Send deposit payment links from the Lightspeed workorder, sale, or customer profile rather than from the Ikeono portal or app.

If it isn't working

  • Not sure whether the payment went through: Open the Payments section in Ikeono. Every payment captured through an Ikeono payment link appears there.

  • Still stuck: Contact our support team via chat. Include the customer's name and the date the payment was made.
